How to Register and Make Adjustments to Your Schedule

When to Register

The registration schedule is determined by the Office of the Registrar, and usually occurs around the middle of the quarter preceding the one you wish to register for (i.e. you will register for Winter Quarter during the middle part of the Fall Quarter). Please see the Academic Calendar for the current registration schedule and deadlines.

 

Pass Times

The Registrar assigns each student 3 registration "pass times". These are periods of time prior to the start of the quarter during which you are able to add and drop classes. You can find out your pass times by logging on to GOLD (Gaucho On-Line Directory).

During Pass 1 -- you are allowed to register only for up to 12 units. Enroll in courses that are likely to become full early.

During Pass 2 and Pass 3 -- register for courses where you are guaranteed a space (i.e. ESM core courses).

 

Schedule Adjustment Fees

You can register and make changes to your schedule without a schedule adjustment fee during the first week of classes. After this time, you will be charged $3 for any changes (adding/dropping courses, grading option changes, etc.) made to your schedule.

 

Approval Codes

For courses that require instructor approval or for courses added after the 1st week of the quarter, you will need an approval code if you want to add the course to your schedule. To get an approval code, please email scheduling@bren. For courses in other departments, contact the course instructor.

Each approval code can be used only once. Do not give your approval code to others -- it will work only for one person adding the class. Once you have the approval code, it can be used on GOLD to add the class. You will need to enter the code when prompted by the system.

 

Adding Classes

During the first week of the quarter, classes may be added using GOLD and an approval code IS NOT required.

During the second and third weeks of the quarter, classes can be added using GOLD but an approval code is required (see above).

Classes CAN NOT be added using GOLD after the 15th day of instruction (3rd week of the quarter).

Graduate Student Schedule Adjustment Petition must be completed to add a class after this date.

Schedule adjustment petitions are available at the Office of the Registrar and in the Bren Student Mailroom - Rm 2406 (in the marked mailbox).

This petition requires the approval and signatures of the instructor and the Bren School Assistant Dean. If the instructor is not available, the Assistant Dean will sign on his/her behalf. Please put the form in the Assistant Dean's mailbox for signature, and it will be returned to your mailbox upon completion.

 

Dropping Classes

Graduate students may drop classes using GOLD up until the last day of classes of the quarter. 

 

Changing Grading Option

Graduate students may change their grading option using GOLD up until the last day of classes of the quarter. 

MESM students must take all courses that will count towards their 81 minimum units for a letter grade UNLESS the course is only offered as S/U or P/NP (e.g. 595 classes). Any additional courses may be taken for a non-letter grade.

Non-letter grades for graduate classes are S (satisfactory) or UN (unsatisfactory). Satisfactory corresponds to a "B" or better.

Non-letter grades for undergraduate classes are P (pass) or NP (no pass). Pass corresponds to a "C" or better.

 

Retroactive Schedule Adjustments

No schedule change can be made using GOLD after the last day of classes. A Graduate Student Schedule Adjustment Petition is required for any changes after this date.

Retroactive schedule adjustments require special approval of the Graduate Division Dean and should be avoided except under highly unusual circumstances.

Retroactive grade changes are approved only when a student can prove there was a legitimate clerical or administrative error; grade changes are not allowed simply because a student is not satisfied with a grade or wants a more presentable transcript.

In cases where a failing grade (F, U, or NP) appears on the student's transcript, Graduate Division will contact the instructor for verification whether the grade was earned or was assigned in error. Once earned, grades cannot be removed from a student's transcript.

Students cannot belatedly change grading options to improve a GPA once a grade has been assigned; only clerical or administrative errors can be corrected retroactively.

 

Important Notes about Registration

It is your responsibility to make sure that:

  • You are registered by the respective deadlines to ensure no late fees will be incurred.
  • You are registered in the correct courses, for the correct number units, and for the correct grading option.
  • Any mistakes on your schedule are rectified before the end of the quarter.  Be sure to verify you schedule on GOLD during the last week of the quarter so that you can rectify any problems before the end of the quarter.  It is much more difficult to rectify problems after the the last day of classes.
